Privacy Policy

Last updated: October 2026

This policy explains what personal information TPI Veterans NSW collects, how we use it, and how we look after it. It covers the information we collect through this website, our membership forms, and when you contact us.

TPI Veterans NSW is the name we’re known by. Our full legal name is Totally and Permanently Incapacitated Veterans’ Association of New South Wales Limited, ABN 90 002 296 988. We use the Australian Privacy Principles, the national standard for handling personal information, as our guide.

The short version

  • We only collect what we need to run your membership, reply to you and keep you informed.
  • We don’t sell your personal information.
  • We only share it when it’s needed to run the Association, when you agree, or when the law requires it.
  • You can ask to see or correct the information we hold about you.
  • Questions? Call the office on (02) 9235 1466.

What we collect

You can read this website without telling us who you are. Most of the information we hold comes from you. Sometimes it comes from someone contacting us on your behalf, such as a family member or carer.

When you contact us

By phone, email, post or the form on our Contact page: your name, your contact details, your badge number if you’re a member, and whatever you choose to tell us.

When you apply for or renew your membership

Your contact details, your service details, your DVA details, documents that confirm which membership category applies to you, a photo for your membership card, and your payment details.

Some of this is sensitive, such as information about your health or your DVA entitlements. We only ask for it to confirm your eligibility, and you provide it when you apply.

When you sign in to the members area

Your badge number and password, which we use to give you access.

When you come to a meeting or event

Your name, and any details you give us when you let us know you’re coming.

When you visit this website

Like most websites, ours may record basic technical information, such as your internet address (IP address), your browser type and the pages you visit. This helps keep the website working and secure. See Cookies below.

How we use it

We use your personal information to:

  • process your membership application or renewal, and keep your membership record up to date
  • post Salute to you and email you our e-newsletter
  • reply to your questions and give you the help you ask for
  • let you know about meetings, events and news that affect members
  • run the members area
  • meet our legal obligations as a registered charity

We won’t use it for anything unrelated without asking you first.

If you’d rather not receive our e-newsletter, let the office know and we’ll take you off the list.

Who we share it with

We share personal information with organisations that help us run the Association, and only for that purpose. They include:

  • Infoodle, which runs our online membership forms and stores the information you submit
  • our website host, which stores this website and the members area
  • the services we use to send emails and to post Salute

Some of these services may store information outside Australia.

If you ask for help that involves another organisation, such as a referral, we’ll only share what’s needed, and only with your agreement.

We may also share information when the law requires or allows it.

How we look after it

We take reasonable steps to protect your personal information from misuse, loss and unauthorised access. This website uses a secure connection, and the members area is protected by a sign-in. We limit access to the people who need it for their work with the Association.

We keep personal information only for as long as we need it, or as long as the law requires, and then securely destroy it.

No website or email system can be completely secure. If you’d rather not send something sensitive online, call the office or post it to us instead.

Names and photos

Some of our work involves members’ names and photos, so here’s what to expect.

Meeting minutes can include the names of members, so they’re only available to members, through the members area.

Our Honour Rolls show the names recorded on the Association’s honour boards.

Vale notices. If we publish a notice for a member who has passed away, we only do so with the agreement of their family.

Photos. We often take photos at our meetings and events, and may use them in Salute, our e-newsletter, on this website and on social media. If you’d rather not appear, tell the photographer on the day or let the office know. If a photo of you is on our website and you’d like it removed, ask us and we’ll take it down.

Cookies

Cookies are small files your browser stores. Our website uses cookies it needs to work, such as the ones that keep you signed in to the members area.

We may also use cookies to understand how people use the website, such as which pages are visited most, so we can improve it. We don’t use these to identify you.

If a page includes content from another service, such as a video, that service may set its own cookies.

You can block or delete cookies in your browser settings. If you do, you won’t be able to sign in to the members area.

Other websites

Our website links to other organisations’ websites, such as DVA and Open Arms. Once you leave our website, their own privacy policies apply, so it’s worth checking them.

Seeing or correcting your information

You can ask to see the personal information we hold about you, and ask us to correct anything that’s wrong or out of date. Contact the office and we’ll help. We may need to confirm who you are first.

If your details change, such as a new address or phone number, let us know and we’ll update your record.

Questions or concerns

If you have a question about privacy, or you’re unhappy with how we’ve handled your personal information, contact the office. We’ll look into it and get back to you.
